13. Quick Actions

The Quick Actions system supports the philosophy that users should usually have a next step to perform when they conclude an action. For example, after logging the details of a phone call in an Interaction, they may wish to create a follow-up Task, send an email, or go back to working an Opportunity List.

Sample Actions after creating a New Contact

Quick Actions is divided into two structural parts defined below.

Top Section

The top section contains options for creating new child Items that are to be linked to the current Flex Item and going to other locations within the Flex site.

  1. Creating new child items.
  2. Redirecting to the item’s document folder (Go to Folder – Add the line “gotofolder” to the setting - shown below)
  3. Send Email to Main Contact or Send Email details –automatically appears unless it is disabled in the Advanced Settings
  4. Go to other Flex Lists (Ex: /Lists/Contacts/My%20Contacts.aspx|Go To My Contact List)
  5. Go to Web sites (Ex: http://www.google.com|Go to Google)
  6. Go to the Dashboard (Ex: default.aspx|Go To Dashboard)

 

Below are two examples of the Settings for Quick Actions.

 

Bottom Section

The Bottom section (after the separator line) configuration examples include:

  1. Go to the item just created
  2. Go to the Item’s parent
  3. Edit the Item just created
  4. Go to the Main Contact for the item just created

Final Redirection

When the Quick Actions is completed there is an optional direction for where to go next.

  1. ThisItem
  2. Account
  3. Parent

Where the user will go when the form closes depends on what they just did. For example, if a New Opportunity was created and the user did not select a next step from the list of options, where should the form redirect the user to?

  1. “ThisItem” – Returns user to the Item just created:

  2. Account” – Takes user to the parent Account for the new item just created:

Parent” – Goes to the Parent of the new item just created. This is used with actions following child items such as Interactions and Tasks.

Edit, Item Summary & Quick Actions

From a Quick Actions form hover the mouse on the parent item for the Edit, Item Summary and Quick Actions for that item to appear. This additional feature to the Quick Actions was implemented in June 2016.

For example, if a new Interaction for a Project was created and then the user realized that they needed to create a Task for the Contact — by hovering on the Contact the Quick Actions for that Contact will be available.

With the screen shot below the Interaction was created for a Project so there are 3 parents that the Quick Actions will be available for – Account, Contact, Project.
