Plugin Settings

There are several configuration options within the Plugin as well as several settings in the Advanced Settings list that must be configured. To become familiar with all of the settings and configuration options please review this entire section before getting started.

From the Outlook Toolbar click the arrow and select “Settings.”

Credentials Tab

  1. Complete the values on the Credentials tab as shown below. Carefully check the details. The most common problem is incorrect credentials being entered here.
  2. Click “Accept all certificates” if you are using SSL.
  3. Don’t forget your domain address (if you use one).
  4. Ensure the Address is correct. Follow the syntax shown.

  1. Once all the details are correctly entered click the “Test & Apply/Refresh” button.
  2. The following screen confirms the connection to the server. If an error message prevents this screen from appearing double check the SharePoint Address, Domain, Username and Password.

  1. Click Yes, Save and use.
  2. The next screen will allow you to restart Outlook now or later.

Import Tab

This tab contains the settings for the Import functions that will appear on the main Plugin Toolbar (Contacts, Tasks, and Calendar items are the only ones at this time) and their corresponding Outlook folders.

Note: When Importing Flex Items (Contacts, Tasks or Calendar Items) to Outlook, the Plugin creates its own Flex folders. This is because the items that are imported are constantly refreshed (they are not synchronized.) Search the “Importing Flex Items to Outlook” section for further information.

The Settings in the Import tab do not require modification in most cases, with the following exceptions:

  1. The Imported Contacts Folder can be changed to designate a different List View if the user prefers. (Search the “Import Contacts” section for more information).
  2. If the Contacts, Tasks, or Calendar List Name has been changed in the Advanced Settings then this change also needs to be changed in the Plugin Settings.

The Plugin does not touch existing Outlook folders but instead creates its own Flex folders. This is because the items that are imported are constantly refreshed (they are not synchronized.)

Configuration Tab

This tab allows several configuration options, allowing flexibility and personalization of the Plugin settings and functions.

General Options

Show update messages – Default setting for user to view recent updates window upon starting Outlook (only shown if an update to the Plugin has been completed).

Use Quick Actions Form after saving item – This is set by default to NOT show. Checking this box enables the Quick Actions window to appear each time an item is saved to Flex:

  1. Close Quick Actions form by default after clicking – This closes the Quick Actions window by default once the user selects an action.
  2. Close View/Edit Flex Items form by default after clicking –This option closes the View/Edit Flex form by default once the user selects an item.

Attachments

  1. Default process when saving Email.
  2. Default action when converting to Interaction/Task

Search Options

Search options control the behavior of the Plugin Search process. When emails are converted the Plugin looks at the email addresses in the To, From, CC and BCC fields.

  1. Include my name in searches so that results will show my records – If the user is also set up in Flex as a Contact item that result will always show in the search results. To prevent this from happening do not check this option.
  2. Show all related items for Account results- This happens by default. Ignore this option.
  3. Always perform default search first – This selection defaults to the standard method where the Plugin will do a search and provide results. To avoid the Search step uncheck this option.

Check Settings and Show Updates

Use the “Check Settings” button to ensure the Advanced Settings are correct. Any issues with the Setting will be shown in red:

  1. The “Show Updates” button allows the user to see the Plugin feature update list.

Upon making changes to any of the Settings in the Tabs, the following message will appear, and a restart of Outlook is required to have the changes take effect.

Status Tab

The Status Tab provides important information to help you troubleshoot performance issues and debugging information that can be sent to support@lookout-software.com if issues arise with a specific user’s environment that you are unable to resolve.
