Many corporations define and construct standard Outlook Templates for their staff to use. SharePoint Flex can take advantage of these template communication files by storing them in a specially designed Document Library.
The Outlook Templates (*.oft files) will subsequently be available to any Flex item that is configured to access the list of templates.
All Flex sites should come with an Email Templates list but if your site doesn’t have one, you can add a new Document Library named “Email Templates” using SharePoint’s Document Library creation process.
Upload the Outlook template files using SharePoint’s Toolbar.
Enabling For List Items
Add the highlighted line to all Advanced Flex Settings Action Bar Items that this feature should be enabled for. For Example this is the Contacts Action Bar items settings. [Don’t forget to Reset Cache.]
The text “Use Email[br]Template” can be changed if desired, but the rest of the text should remain as shown.
Once this value has beens added to the Action Bar Settings for each required list the user will click on the button and select the Email Template of their choice.
When the user clicks from the list of templates available Outlook will open a copy of the Template.
Note: The Flex item will not merge in details with this feature, however, for a quick copy of the email address click the “Copy to Clipboard” icon on the Display page and paste it into the TO field in the email.
Use the Outlook Plugin to save the email or convert to interaction.
