Note: if your Site is recently updated - February 2017 - you will need to add the settings shown below in this page.
The Data Viewer Sub Grid feature is similar to the process of flipping through the pages of a book of historical data! It is available for every Sub Grid on a display page but is mostly useful for large amounts of data. With the Data Viewer you can display different information in the Sub Grid than through the Viewer.
Data Viewer Features
- Links to View and Edit the Item.
- Action Icons to view Item Summary, go to Quick Actions and Delete* (based on permissions)
- Page Indicator Bar and Counters (indicate page number being viewed)
- Navigation buttons to view next, previous, last and first items
- Custom Title for Data Viewer pane
- Link to any files attached to the item (SharePoint attachments)
- The main body of the viewer contains the Column Field values specified in FlexSubGrid settings (Lists/Columns category)
Email Sub Grid
The Data Viewer enables quick access to view saved email messages without having to open Outlook.
Data Viewer Sub Grid Web Part Settings
By default the Data Viewer will display all Column Fields that are added to the Sub-Grid, however they can be configured to suit your needs.
- Open Sub Grid Web Part properties editor by right clicking on the green ‘up’ arrow in the header of the Sub-Grid to display the “Settings” Link (or use Tools, Edit Page) to open the SubGrid web part properties editor.
Note: The Arrow (Settings) link requires the use of the “ShowWebPartSettingIcons” Advanced Flex Setting with a value of “True”.
- Expand the Data Viewer section: Use the check mark to indicate whether or not the Data Viewer should be shown in the Sub-Grid.
- Data Viewer Columns: Enter a list of columns (separated by commas) that will be displayed in the Data Viewer for this Sub-Grid. If this is left empty, the Data Viewer will use the current Sub-Grid columns:
Other settings in the Data Viewer web part properties can be used to change the Title and Value column foreground and background colours, using HEX values.
Advanced Flex Settings
If your site pre-dates Spring 2015, add the following Advanced Flex Setting with a value of “True” to enable the latest features of the Data Viewer.
Setting Name: DataViewerNew
Setting Value: True/False (False is Default)
Setting Name: DataViewerAddHeaderRow
Setting Value: True or False
The Custom Title has a two-part configuration setup. One is to enable the feature with this Setting and the other is to configure the text you want to display in the Web Part Properties.
- Once the Setting is added open the “Data Viewer” category from the Sub Grid Web Part Editor.
- Scroll to the Custom Title Text section and enter the Column Field names to be displayed in brackets using a comma separator. In our example, we are using Interaction Date and Summary as the title.
- Click “Save” and reload the Display Form. The Interaction Date and Summary now appear in the title bar of the Data Viewer.
- Alternatively, a default text string can be used (such as “About this Interaction…”)

The following navigation will now be enabled on all Data Viewers where each Item will move along the row as shown below.
Note: Some Sub-Grids may not have the need for the Data Viewer (such as Documents). To modify or disable any of the behaviors and functions, edit the SubGrid web part settings.
Data Viewer Title
Should you prefer to do so, the “Data Viewer” link text may be changed to a different default display, such as “Quick Viewer”. This doesn’t change the name of the Data Viewer web part, but rather the way the link appears to the user.
- Go to SharePoint Tools, select “Site Contents”
- Locate and select the “Flex Translations” list. (if you do not see this list, refer to the “Translation System” section of this Guide for instructions on adding it.)
- Scroll or use the Title filter to locate the “data viewer” setting and click to edit.
- Enter your desired Data Viewer link label in the Translation field, then click “Save”.
- Changes to Flex Translations list are similar to Advanced Settings in that the application needs to be refreshed before the changes appear. Go to Tools/Advanced Settings and select “Reset Application Cache” for your changes to take effect.
