Convert to Interaction

The “Convert to Interaction” option converts the text of the email body into the details section of an Interaction form for the selected item.

In the following example, the text of our email message is shown:

When the “Convert To Interaction” button is selected, the search launches and gives the user the opportunity to select the applicable item in the search results.

Note: Attachments can be saved as either SharePoint attachments or to the Document Library.

If the Column field “Interaction Type” is set up in your Flex Interactions List, the following prompt will appear for the user to select a choice (refer to the “Interaction Type” section of this Guide for configuration options):

The appropriate contact should appear by default but if not then select the drop down to be presented with all other Contacts for that Account.

Additionally, if another Custom Field has been enabled for the Interactions List, a second choice field option may appear:

After making selections, click OK. The confirmation window will appear with options to edit or view the Interaction or other Quick Actions. Click “View” or “Edit” to launch the Interaction Display form in the browser window:

The body of the message is now contained within the Details field of the Interaction item:

When looking at the Interactions Sub-Grid from the parent Account Display form, the email text is visible in the Details field and the Data Viewer:

Once the Outlook message is saved as an Interaction to Flex, the Plugin will automatically flag the item.

Interaction Date

By default, the system will use the current date when it creates the Interaction regardless of the date of the email.

Although emails are often “processed” at times other than when they are received, if you prefer that the Interaction Date is the same date as the date of the Email (as opposed to the Current Date) add the Advanced Flex Setting below with a value of True.

Setting Name: OutlookPluginUseEmailDateForConvertInteraction
Setting Value: True/False

If this Setting is not required to address the above situation, do not add it. The default value is True.
