The “Display Form Relationship Links” macro system described here will replace all uses of #parentrecord#, #parentname# and #projectname#.
Note: Please use the April 2017 update (or later) to use these functions.
The purpose of this system is to enable different parent hyperlinks and field value details to display dynamically on a child item (such as an Interaction or Task) so that when an Interaction is created against a Project it will display Project related values and when an Interaction is created against an Opportunity another set of values will display in the same place.
Additional to display values, dynamic headers can be used so that if an Interaction is created from something other that what is set for it then nothing will be displayed.
In the screen samples below we used two sets of Syntax. One is to manage a relationship with a Standalone List and the other to manage several parent related item details. In all the screenshots shown below the same Interaction form is being used.
Syntax below manages the details shown Table 2 where “Relationship Details” is displayed.
#title=Relationship Details|Opportunities;Projects,#Opportunities:Type of Opportunity;Title#,#Opportunities:Current Stage#, #Projects:Project Type;Title#, #Projects:Start Date#,#Projects:Project Manager(s)#
Explaining The Above Syntax
Create a title called “Relationship Details” and only show this title if the item is related to an Opportunity or a Project. If the item is created against an Opportunity show the field “Type of Opportunity” value as a Title (action buttons are displayed). Also if the Interaction is created against an Opportunity show the value of the field “Current Stage”. If the Interaction is created against a Project then show the field values from “Project Type” (shown as a Title), Start Date and Project Manager(s).
Interaction Against Opportunity
Interaction Against Project
Interaction Against Contact (no allowance was made for Contact Relationship Links)
Interaction Against Standalone Individual List
The following syntax is used to manage whether the Interaction is against a standard Account/Contact (as is shown in the screenshots above) or against a Standalone list. It is managing the display Table 1 displays.
Main Contact, #Investors:Full Name;title#, #Investors:Investor Type#,#title=Account Details|Accounts;Contacts,#Accounts:Account; title,#companyfulladdress#,#companyMain Phone#, #title=Record Details, Made By, Date Created
Explaining The Above Syntax
If there is a Main Contact in the parent item then show it. If there is no Main Contact (as in the example here with a Standalone individual list) then do not show it. If the parent item is an Investor then show the “Full Name”, “Investor Type” and “Address” values. If the parent item is an Account or Contact then show a section called “Account Details” with the Address and Main Phone of the Account. Show the “Record Details” section with field values “Made By” and “Date Created” for all items.
Main Contact & Account Related Only
Macro Syntax Options
- #companylinkedcompanyname# and any company (Account) fields being displayed using #companylinked[field]# will no longer display if not relevant. In other words, if the child item (Interaction or Task) is not related to a Company item.
- Use of “Main Contact” will not display if there is no associated Main Contact.
- Use of #Parent List Name:Column Name# will display the value. Example is: #Opportunities:Revenue Potential#. This will display the “Revenue Potential” only if the parent is an Opportunity.
- Appending “;title” to the Parent list as described in 3 above will treat the value as a Title column. This means that the hyperlink action buttons will all show for this value. An example would be “Opportunities:Revenue Potential;title#.
- Use Section Titles that will only display if there are items for that List to display. Example is: #title=Contact Details|Opportunities;Contacts;Accounts. Separator is “;” and not a comma.
- Section Titles can also be pinned using #pinnedtitle=. Example is: #pinnedtitle=Contact Details|Opportunities;Contacts;Accounts. Separator is “;” and not a comma. In these examples a title “Contact Details” will ONLY show up if the details are belonging to an Opportunity, Contact or Account. If the item were belonging to a Lead or Campaign, etc. it will not show the title.
Examples
#title=Account info|Accounts;Contacts;Opportunities,
#Accounts:Account;title#,
#Accounts:Main Phone#,
#title=Contact info|Accounts;Contacts;Opportunities,Main Contact,
#Contacts:Email Address#,
#title=Broker Interaction|Brokers,
#Brokers:Broker#
Note: the separators used between items is a comma but between adjoined sections its a semi colon.
