16. New/Edit Forms

Every New Form has a corresponding Edit Form. New Forms can and do contain different sets of Column fields than the Edit Forms. Some fields may not be required for editing (such as “Created By” and “Created Date”) and therefore only appear on the Display Form.

When a new item is created, Flex NewForm2.aspx is launched for that list. To access the New Form for a specific list simply take the steps that would normally be used to create a New Item.

Fast ways to gain access to Flex NewForm2.aspx for a specific item:

  1. From the Dashboard, use the New Item Wizard or the Create NEW Item link in the NavBar and make a selection:

  2. Using the Quick Search and select from the Quick Actions Icons (highlighted below):

  3. Or use the Quick Actions Icons in Custom Menus and Recently Displayed Items in the NavBar:

  1. Each Display Page’s Action Bar will also present the New items that can be created from that Item. For example, you can create an Opportunity from an Account Display, however not from the Display Page for a Task (see examples below.)

  2. Sub-Grids usually have the ability to Add New items as well.

Note: Within the Sub-Grid properties the ability to “Add New” can be turned off. Additionally, there is no ability to Add New Documents or Emails from the Sub-Grid. This is done by design.

  1. The Custom Menu is an efficient way to access Flex NewForm2.aspx for adding new items as it is accessible from the List View without having to open and display items, thus reducing clicks:

Once Flex NewForm2.aspx for the specific item has been launched, the Web part properties can be accessed and the form modified.

To modify web parts, you must be a Full Control or Administrator user of Flex.

Note: If new fields are to be added to the form, they must be added to the List first in order for them to appear in the Available Fields list (see below).

Drag the fields from the Available Columns list to the Selected Columns list where they will be displayed on the form. To reposition, the fields simply drag the field items Up and Down.

There are likely to be several fields that should not be moved from the Available to Selected columns. For example, the “Last Interaction”, Current Stage” and some “copy down” fields are for display purposes only and should not be edited. (See the “Copy Down” sections of this Guide for more information.)
