Search Process

When an email is “processed” using the Outlook Plugin an internal search of the SharePoint Lists included in the “OutlookPluginSearchListsAndViews” takes place based on the email addresses and domains contained within the in the To, From, CC and BCC fields.

The Plugin also considers domain names when searching for Account and Contact results. For example, if the email address is johnny@americancandle.com the system will consider “American Candle” a matching result.

If the applicable record is not automatically located, a manual search can be performed using the Search field.

If the item is not found either by the automated search or by a manual search then users can create new items from the Create New Action Bar in the Plugin search results form.

Setting Name: OutlookPluginSearchListsViewsAndFields
Setting Value: Setting Value: List Name|View Name|Fields Used in Searching|Column1 Display|Column2 Display |Column3 Display

This Setting controls the following:

  1. Which list is enabled for emails to be saved to and interactions and tasks to be created for?
  2. The View is used as a filter. If for example you didn’t want Inactive projects to have emails saved to them you could add a Filtered View.
  3. Which field values will be searched?
  4. The search results three columns will display the field values of these fields entered.
