As with the other Flex Lists, there are a number of Advanced Settings that allow customization of the Plugin features. These settings are covered individually in this section.
The primary and most important Flex Setting for the Plugin operation is “OutlookPluginSearchListsAndViews”. This Setting controls
- Which Views will be used with the associated Lists
- Which Column Fields within the Lists will be searched
- Which Fields will be displayed in the three columns in the Search Result window
Setting Name: OutlookPluginSearchListsViewsAndFields
Setting Value: List Name|View Name|Fields Used in Searching|Column1 Display|Column2 Display |Column3 Display
The Outlook Plugin setting has the following structure (notice there are 6 value sets between 5 pipes):
List name | List View (which is used for filtering) | Search Columns | Result Pane 1st Columns | Result Pane 2nd Columns | Result Pane 3rd columns
The Fields you choose to display for each column will help the user determine the right record to work with.
The system reads the Setting Value in this manner:
- List Name (ie. Accounts, Contacts, Opportunities, etc.) which the emails will be saved to, each on a new row
- List View name which will be used as the base filter, such as “Active Opportunities”. (Until you are familiar with how the system works it is best not to use a filtered View.)
- The Column Field names that the Plugin will use to search Flex (i.e.; Account, Main Contact)
- The Column Field names to be displayed in each of the 3 columns of the Search Results pane
Most errors or issues are usually caused by an invalid syntax in the Setting. If you do not enter a pipe or you do not enter the appropriate number of columns, the connection will not work properly. Be sure to review the instructions again.
Setting Name: OutlookPluginUseEmailDateForConvertInteraction
Setting Value: True/False
Setting Name: OutlookPluginImportContacts
Setting Value: True, False or Create a list of user names allowed to perform this function – each on its own row
Using the default Setting Value of “True” enables users to import their Flex Contacts into Outlook. The Setting Value may be changed to False or enabled for specific users. Simply list the User Names using a line separator.
Setting Name: OutlookPluginGetInteractionType
Setting Value: True/False (Default is True)
This Setting controls the ‘Interaction Type’ menu window when the ‘Convert to Interaction’’ option is used in the Outlook Plugin. (Default is True). Use a Setting Value of False to disable the Interaction Type window.
Setting Name: OutlookPluginGetTaskType
Setting Value: True/False (Default is True)
This Setting controls the Task Type menu window when the ‘Convert to Task’ option is used in the Outlook Plugin. (Default is True). Use a Setting Value of False to disable the Task Type window.
Setting Name: OutlookPluginImportContactsViewName
Setting Value: My Contacts (Default)
This Setting controls which Contact List View is used when importing Contacts from Flex to Outlook. The default is “My Contacts”.
Setting Name: MyContactFieldName
Setting Value: My Contact (Default)
Setting Name: OutlookPluginImportContactsUserSpecificViewNames
Setting Value: [Plugin User Name]|[ViewName] (each user on its own row)
Note: If the above Setting doesn’t exist then the default common View name (i.e. “My Contacts”) will be used. (See the “Import Contacts Using Personal View” section for further information.)
Setting Name: OutlookPluginImportCalendarItems (previous name “OutlookPluginImportAppts)
Setting Value: True/False
Using the Setting Value “True” enables users to import their Flex Calendar Items into Outlook.
Setting Name: OutlookPluginImportCalendarViewName (previously OutlookPluginImportApptsViewName”)
Setting Value: [View name in Flex Calendar List)
This Setting controls which Calendar View is used when importing Calendar Items from Flex to Outlook. The default is “My Calendar”.
Setting Name: OutlookPluginImportTasks
Setting Value: True/False
Using the Setting Value “True” enables users to import their Tasks from Flex to Outlook.
Setting Name: OutlookPluginImportTasksViewName
Setting Value: My Active Tasks (Default)
This Setting controls which Tasks List View is used when importing Tasks from Flex to Outlook. The default is “My Active Tasks”.
Setting Name: OutlookPluginExtraCustomFields
Setting Value [Column Name]
This Setting allows one extra Column field to be available when converting an Email to an Interaction or Creating a new Interaction (such as Time, Incoming, etc.)
