Privileges

SharePoint Flex has added a number of “privileged” functions that control user access to certain SharePoint functionality that could be problematic. The following list is included in these controls.

  1. Exporting (controls Export to Spreadsheet, Open with Access & View RSS Feeds)
  2. Connect to Outlook
  3. Datasheet/Quick View
  4. List Settings
  5. Site Actions

Setting Name: PrivilegeEnable
Setting Value: True/False (default is False)

By changing the default value to “True” all Contribute users will automatically be restricted from accessing the functions listed below.

However, it may be desirable for specific Contribute users to be able to perform some of these SharePoint functions. The following Settings enable individual users to be added to each setting as required.

Group Names cannot be used. Only User Names. Usernames can either be full name (as set in the SharePoint user list) or the login name. Example: Joe Blow or server\jblow

Although Datasheet/Quick Edit is a terrific tool for mass editing and deleting it can be a dangerous tool for an individual with no understanding of its functionality.

If an Item, (ie. Account, Opportunity, Contact, etc.) is deleted using the Datasheet any related items will NOT be deleted. These child items will be orphaned.

The export function is also available from the Advanced Search and Campaign.

The“Open with Access” and “View RSS Feed” functions are also controlled via the Export Setting. Give users right to Export and they will get these two options as well.

This function is included as a default SharePoint function for the Contacts, Tasks, and Calendar lists.

This feature synchronizes all items to Outlook regardless of any filtering on the Flex list.

Setting Value Options

  1. If the Setting “PrivilegeEnable” is set to “true” all Contribute users will have access to the functions listed in the individual settings above.
  2. If theSetting “PrivilegeEnable” is set to “false” all Contribute users will blocked from accessing the functions listed above.
  3. Each of the Privilege Settings listed above can be set to “true” or “false” so that Contribute users can be contained within certain functions.
  4. To enable specific Contribute users to gain access to specific Privilege Settings add their user names or group names to the specific Setting’s Value box – each on their own row (example: “Joe Blow” or “ServerName\jblow”).
