If you have ever looked at a list and wished you could know quickly “How many opportunities does each Account have?” or “How many Interactions does a specific list of Opportunities have?” this feature is worthy of its simple setup procedure.
The “Update Totals” function totals up related child items and rolls them into a Total field set up for the Parent item.
In the example below a list view has been constructed for Accounts to see Total Cases, Total Contacts, Total Interactions and Total Opportunities. The View is called “Customers Totals View”
In the Account Display form shown below, the Total values are displayed. These are examples of fields that should be displayed only and should not appear on the New/Edit forms as users will not be required to edit the values. Configuring
- Add a “Single Line of Text” field to each Parent list that should display total child items. The example shown below is the Accounts List.
- Once the fields are added to each Parent list(s) add the following Advanced Flex Setting and values (if it doesn’t exist).
Setting Name: UpdateTotalFields
Setting Value: Parent List Name | Child List Name | Field Name added to Parent List
Note: Total Interactions is programmed to roll up within the Opportunity automatically. All other Total Fields will be added to this Setting.
Add the Total fields to the Display form only. It is not necessary to add Total Fields to New/Edit forms because Total information is for viewing and reporting only and not for entering or changing by a user.
